What we collect when you register a business through Keystone, why we need it, and what happens to it.
What we collect
Registering a business means telling the Registrar who is behind it. To file for you we collect, for you and for each person you list:
- Full names, dates of birth, nationality, occupation and contact details (phone and email)
- Ghana Card numbers, or passport numbers for people without a Ghana Card
- TIN (tax identification numbers)
- Residential and business addresses
- Uploaded ID documents and passport photos
- Business details: proposed names, activities, stated capital and shareholdings
- Payment references from your mobile money provider. We do not see or store your card or mobile money PIN.
Why we collect it
We use this information for one purpose: to prepare, review and file your registration with the Registrar-General, and to keep you informed about its progress. We do not sell it or use it for advertising.
How it is stored
- Encrypted at rest: your answers are encrypted while your application is in draft, and uploaded documents are stored in private storage that is not publicly reachable.
- Access is limited to your assigned lawyer and Keystone administrators, who need it to review and file your application.
- All traffic between your browser and Keystone is encrypted in transit.
Who we share it with
- The Registrar-General's Department (Office of the Registrar of Companies), which receives your application and issues your certificate
- The Ghana Revenue Authority, where a TIN is required for a person you list
- Moolre, which processes mobile money payments and returns a payment reference to us
We share only what each of them needs, and nothing with anyone else unless the law requires it.
How long we keep it
We keep your application and its documents for as long as your account exists so your record of the filing stays available. Ask us and we will delete a draft you never submitted. If you ask us to close your account, we delete your data except where we must keep a record of a filing or a payment.
Your rights
Under the Data Protection Act, 2012 (Act 843) you can ask what personal data we hold about you, ask us to correct it, and ask us to delete it where we no longer need it. Contact us and we will respond within a reasonable time.
